Fundraiser privacy notice

Au Cao runs student fundraisers on aucao.com with participating schools and groups. This notice explains what we collect about students and their families for a fundraiser, how we use it, and the choices parents and guardians have. Questions: auinfo@aucao.com.

What we collect

• About a student: first name, last initial, grade, the program and school year, the sponsor code we issue, and the sales credited to that code. If a school uploads a roster, it may include a school student ID. We do not collect a student’s email address, phone number, home address or photos.
• About a parent or guardian: name, email address, and the consent choices made, with the date. If the parent signs in at aucao.com, we link their store account so they can see their student’s progress.
• About directors (teachers, coaches, organizers): name and email address.

Parent or guardian consent comes first

A student can start a sign-up, but nothing is active until a parent or guardian agrees by email, or the school has a signed paper consent form on file. Until then, no sponsor code is issued and the student does not appear on any dashboard. If no parent answers, the sign-up is deleted automatically about a week after the consent link expires.

How we use it

• To run the fundraiser: issue the sponsor code, credit sales made with it, and work out what each cause is owed.
• To email the parent or guardian about consent, the sponsor code and share link, and progress.
• To show progress to the student’s parent or guardian and to the program’s director.

We do not sell this information, use it for advertising, or share it with anyone outside Au Cao and the student’s program, except service providers that host the site and send email for us, or when the law requires it.

Who can see it

• The parent or guardian who gave consent, on their private family page.
• The program’s director, on a private dashboard: the student’s first name and last initial, grade, sign-up status, amount raised, and a partly hidden parent email.
• Au Cao staff who run the fundraisers, through accounts protected by a password and two-step sign-in.

Nothing about a student is shown publicly. The sponsor code and share link are shared only by the family, with whom they choose.

Photos

Photos are optional and separate. We only use a student’s photo in a fundraiser story if the parent or guardian checked that box, and they can change their mind at any time.

Emails

Progress and news emails include an unsubscribe link. Emails needed to take part (consent requests and the welcome email with the sponsor code) are still sent.

How long we keep it

Sign-ups without consent are deleted as described above. Other records are kept while the program runs and as long as needed for the fundraiser’s accounting, then deleted or made anonymous. A parent or guardian can ask us to delete their student’s information sooner.

Parent and guardian choices

A parent or guardian can, at any time: review the information we hold about their student, ask us to correct it, withdraw consent and stop their student’s participation, or ask us to delete it. Email auinfo@aucao.com from the address used for the sign-up.

Keeping it safe

Pages and emails use encrypted connections, links in consent emails expire, and staff access is limited and logged.

Changes

If we change this notice, we will update the date above. Material changes will be emailed to parents and guardians of participating students.
